OFD-logo400Origin Fruit Direct implemented Microsoft Dynamics NAV in 2010 and soon came to realise that the reporting system was very limited and it was difficult to access detailed financial and commercial information to make informed decisions. There were a number of standard reports included within NAV but as soon as the company required a specific question answered, it entailed outsourcing the writing of the report to a third party. This, the company found, involved many ‘hours of blood, sweat and tears’.

Their Challenge

It came as a surprise to find that it was far from easy to access detailed management information stored within the NAV system. According to Johan Riekert, Finance Director, if the team wanted answers to specific questions, the only option was to outsource the writing of the report to a third party. “Even when the report was in our hands, it was very difficult to change anything and the cycle would begin again,” says Johan.

The difficulty in generating customised reports was viewed as a serious shortcoming and the team was further disappointed to find that 70% of standard reports could only be produced as hard copies, with no capability to export data into Excel for manipulation.

It quickly became obvious that the company needed access to more complex analyses including sales by product, sales by country and the ability to report on a combination of dimensions so that the management team could make informed decisions.

The Benefits

The biggest benefit of PrecisionPoint for Origin Fruit Direct is the saving in time. “It took a long time in the past to get information and now, we can produce reports with the click of a button and refresh that information just as easily.”

There are also noticeable cost benefits as it is no longer necessary to employ third parties to amend and update reports in NAV.

“Without a doubt, the quality of management information has improved and now if someone asks a question, we can quickly find the answer.” The finance team can readily export data into Excel using PrecisionPoint and ‘can do whatever they like with it’, Johan adds.  “It is far more user-friendly and we can now put the data into graphs and one big advantage lies in being able to combine the reports with other information. I can ask it to fetch my budget and combine PrecisionPoint reports with other data and it does it.”

The Results

Access to quality detailed information is crucial to Origin Fruit Direct’s growth plans. “If we didn’t have the right information, we would have not been able to make informed decisions. It could have been catastrophic.”

Besides the cost and time savings and an ability to access any combination of data, Origin Fruit Direct has noticed that the team, as a whole, are far more interested in finding out what is going on in the business and there is a marked increase in confidence in the NAV system.

Riekert says, “In the past, NAV was little more than a black box because we couldn’t get accurate information. A glimmer of doubt had crept in and we had no way of accurately convincing people of its ability. One of the key changes is that they have begun to get more confident and they don’t think of the reports as generated by PrecisionPoint, they see them as NAV reports.”

The NAV and PrecisionPoint systems were chosen on the basis that they are scalable and their use will help the company to make informed decisions as it grows and enters new countries and markets. “We can’t outgrow NAV and we have the same feeling about PrecisionPoint,” Johan comments. “It doesn’t matter if there are 10,000 or 10 million transactions, PrecisionPoint can cope with it.”

All the global teams use the same tools and Johan says, “If we didn’t have this timely and accurate information, I don’t think it would be possible to make the right decisions. We can see immediately what product is profitable or not profitable and the upside and downside of doing business with any supplier.

“We are in no doubt that PrecisionPoint is working for us and as we move forward, we will continue to fine tune the data warehouse so with the help of PrecisionPoint, we can get even more information out of Navision.”

The relationship is seen on both sides as an evolving one. Johan concludes: “We like the fact we can grow with PrecisionPoint.”
